The Bank for International Settlements (BIS) is an international organisation promoting global monetary and financial stability and is a bank for central banks. We are looking for an Information Services Supervisor to join the Records and Archives unit. Under the guidance of the Head of Records and Archives, the selected candidate organises and oversees the work undertaken by the BIS Mail & Print Office, which is part of the Information & Collaboration section, and which is responsible for the timely distribution and dispatch of internal and external mail and for the provision of Bank-wide printing services. He/she coordinates, in particular, the work rota, the guaranteed presence during service hours and the efficient delivery of services. The Information Services Supervisor provides key input to the line manager in budget planning, in staff training and development, as well as in the planning of business applications development, and equipment maintenance and replacement in the area he/she supervises.
Principal accountabilities:
- Supervisory responsibility: Motivates staff; provides staff training opportunities in consultation with the line manager; participates in the recruitment process; advises the line manager on staff issues; encourages staff development and provides input to the annual performance review process. The Supervisor sees to it that the work performed by the area meets the highest professional standards and is in line with applicable policies.
- Operational duties: Ensures a fully operational service by developing schedules, assigning and monitoring work, implementing productivity standards, resolving operational problems, maintaining reference manuals and implementing new procedures; contributes to the team effort by accomplishing agreed service levels and business targets; sees to it that internal and external business enquiries are dealt with promptly and efficiently.
- Business analysis and process review: Continuously reviews service requirements, work processes and arrangements; proposes and assists with implementation of improvements; advises on and helps to implement policy changes, new standards and guidelines.
- Liaison function: Partners with internal and manages external service providers to ensure smooth operations; coordinates timely applications and equipment maintenance, enhancement and replacement.
- Budget responsibilities: Participates in the creation, maintenance and monitoring/reporting of operational and budget processes.
- Representation and management support: Represents the area he/she supervises and I&C as a whole in unit and bank wide meetings or project work as required.
Qualification and skills:
- Commercial education or higher with relevant work experience
- Possess a positive attitude with excellent interpersonal skills and the ability to interact and build strong working relationships with internal clients and key stakeholders as well as with peers at all levels of the organisation
- Very good verbal and written communication skills
- Ability to provide on-going coaching and mentorship to members of the team, ensuring that a consistent level of support for the team is maintained
- Organises and assigns work priorities by effectively directing workflows and managing own and team resources
- Analytical skills with a pragmatic, hands-on approach
- Demonstrates absolute discretion in treating confidential and restricted information
- Ability to work in a team environment and adapt to changing workload and circumstances effectively. Prepared to work shift hours and overtime if required
- An aptitude for working with computer applications and technology hardware, particularly with regard to mail logistics, printing, scanning and photocopying. Proficiency in Microsoft Office Suite is a must
- Proficiency in English and a good knowledge of German
Work experience:
- At least five years of experience in an office role (particularly managing internal projects and work process improvement initiatives end-to-end)
- A proven track-record in providing and optimising information-based, logistical and technology-driven work processes
- Experience in working with service providers and managing relationships with vendors desirable
